POSITION SUMMARY: Under the supervision of the Outreach and Intake Coordinator, the purpose of this position is to be provide clerical assistant, such as answering multi-line telephone system, directing calls and taking messages; filing; operating office equipment, such as computer system, printer, copier, fax, scanner; receiving and monitoring sign-in/sign-out roster for clients/visitors; and, date and time stamping mail and directing mail to the appropriate department. The spirit of teamwork is paramount in improving the work experience for the successful candidate and other team members.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. The successful candidate will:

1. Respond to inquiries from clients and the public about housing programs.
2. Assess needs of clients and refer them to the appropriate staff.
3. Answer the telephone and transfer calls to the appropriate department individuals.
4. Take telephone messages for the staff.
5. Greet visitors to the agency, answer questions, and direct them to the appropriate individuals.
6. Type and/or prepare a variety of forms, letters, reports, and memos for distribution.
7. Organize and maintain office files and records.
8. Assist staff in distributing and accepting applications for housing assistance programs.
9. Update computer information for program applicants as reported.
10. Accept payments from program participants as required.
11. Enter computer application data as required.
12. Receive and sign for delivered packages.
13. Date and time stamp incoming mail and distribute to appropriate department.
14. Print utility allowance verifications as requested by program participants.
15. Make copies for staff, landlords, and participants as requested.
16. Order office supplies, when required.
17. Report call-in absences and tardiness to supervisors.
18. Open, at the beginning of the day; and, close, at the end of the day, the reception area.
19. Perform other duties as assigned by supervisor.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

1. Ability to read and comprehend simple instructions, short correspondence, and memos.
2. Ability to write simple correspondence.
3. Ability to effectively communicate information, in one-on-one situations, to agency employees, to employees of other organizations, and to the general public.
4. Ability to apply common sense to carry out instructions provided in written, oral, or diagram format.
5. Ability to deal with, and solve, problems in a fast-paced setting.

MINIMUM TRAINING AND EXPERIENCE REQUIRED

1. High School Diploma (or GED) required.
2. Skills with operating office equipment such as computer system, printer, copier, fax, scanner, typewriter, etc.
3. Exceptional oral communication skills.
4. Any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this position.
